To manage the entire lifecycle of Controlled Documents (CDs) and maintain the integrity and accessibility of the Document Control System (DCS), ensuring all quality documentation is accurate, compliant, and current. To administer the Yearly Training Program.

 

 

KEY RESPONSIBILITIES 

Document Control Management

  • Manage the Document Control System (DCS) to ensure all documentation is accurate, up to date, and easily accessible to relevant parties (e.g., via SharePoint).
  • Oversee various departments’ management of their documents throughout their lifecycle.
  • Manage Controlled Document reviews via digital platforms (SharePoint/ YouSign/ Email) when required.
  • Maintain copies of all approved CDs in use at the sites and manage an up-to-date copy of the Master List of Documents.

Compliance & Records

  •  Verify that the Controlled Documents (CDs) contain the information required for compliance with AAALAC and that the same content is applied on the sites.
  • Ensure filing and archiving is carried out in a rigorous, streamlined manner.
  • Assist the Quality Manager in the compilation of the AAALAC Program Description during the semi-annual review. 

 Training & Support

  •  In collaboration with HR/Admin, assist in the organization and documentation of training for new hires on company policies and procedures.
  • Administer & maintain the yearly training program to ensure compliance with training requirements
  • Provide administrative support to the Quality Manager during internal and external audits.

 

QUALIFICATIONS & EXPERIENCE 

  • Minimum: Diploma in Business Administration, Quality Management, or related field.
  • Preferably 1–2 years’ experience in a quality, admin, or compliance-related role.
  • Strong organisational and administrative skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage time and prioritise tasks efficiently.
  • Good interpersonal and communication skills.
  • Skilled in Microsoft Office (Word, Excel, PowerPoint).
  • Familiarity with ISO standards (e.g., ISO 9001) is an advantage.
  • Ability to work independently and maintain confidentiality.
