Main Responsibilities

  1. Commercial Management & Customer Relations
  • Prepare customer quotations according to Sales Manager directives.
  • Request supplier prices and freight rates from forwarding agents.
  • Maintain updated customer data in the company’s database.
  • Prepare export documentation (commercial invoice, delivery note, customs declaration).
  • Monitor receipt of orders and invoices in the ERP system (Navision).
  • Handle price requests via phone or email.
  • Perform counter invoicing.
  1. Procurement, Imports & Supplier Management
  • Keep supplier information up to date.
  • Orders specific product after validation.
  • Verify product codes and pricing for Offset and Digital ranges.
  • Manage the full order process: proforma validation, document verification, and shipment follow-up.
  • Keep customers informed of the progress of their specific orders.
  • Organise DHL online bookings and forward necessary documents.
  • Create purchase orders (FPO) and submit them for approval when required.
  1. Coordination & Reporting
  • Ensure smooth communication between sales, logistics, and accounting departments.
  • Monitor delivery and invoicing timelines.
  • Facilitate the circulation of accurate information in a timely manner.
  • Contribute to process improvement for sales, purchasing, and commercial administration.
  • Submit regular sales and purchasing related reports to the Management.
  • Perform any other cognate duties relevant to the position.
  • Degree or diploma in Commerce or Logistics, or equivalent experience.
  • Fluency in both English and French.
  • Proficient in Excel, Outlook, and ERP systems (ideally Navision).
  • Organised, meticulous, and autonomous.
  • Interpersonal and teamwork skills.
  • Knowledge of import/export procedures is an advantage.
  • Working hours: Monday to Friday, from 08:00 to 17:00.
