The Client Relationship Assistant will principally assist the Brokers in their daily duties. He/She will need to build and maintain business relationships with the company clients and insurers, ensuring that they receive the customised service they need.
Main Duties :
- Extract, update, and maintain monthly renewal lists from OASIS.
- Conduct preliminary compliance checks to ensure all renewal files are complete and up to date.
- Follow up with clients to obtain outstanding KYC documents and other required information.
- Prepare and pre-fill renewal documentation and ensure readiness ahead of deadlines.
- Review policy documents for accuracy and liaise with insurers to correct any discrepancies.
- Track, organise, and file all documents on OASIS in a timely and structured manner.
- Issue cover notes (via OASIS or manually) and send them to clients along with related documentation.
- Generate invoices and ensure they are issued together with the cover notes.
- Send policy documents to clients and follow up with insurers for outstanding items, including endorsements and signed placing slips.
- Monitor and record turnaround times for receiving signed placing slips and policy documents from insurers.
- Respond to client queries related to invoices, statements of account, policy documents, and cover notes.
- Liaise with internal teams (Compliance, Accounts, Claims) to support smooth processing and adherence to internal standards.
- Complete and close transactions on OASIS accurately and within required timelines.
- Assist with the preparation of internal reports, presentations, summaries, and support special projects as assigned.
Qualifications and experience :
- A Higher School Certificate
- 1 year of working experience with an insurance broker or in a similar position
