The Receptionist is the main contact for visitors and callers, providing a professional and welcoming front desk. Duties include greeting clients, managing calls and emails, booking meeting rooms, handling mail and couriers, and supporting general office tasks.
Overview
The Receptionist will provide frontline representation for Wave Capital, ensuring every visitor, client, and team member experiences a professional, organised, and service-oriented environment. This role supports the smooth operation of the office by managing all reception functions, coordinating day-to-day administrative tasks, and assisting internal teams with operational needs.
Front-Desk & Visitor Management
Greet, register, and assist all visitors, ensuring a positive and professional first impression.
Maintain a clean, organised, and presentable reception and waiting area.
Coordinate visitor passes, ensure adherence to security protocols, and notify staff upon guest arrival.
Communications Handling
Manage all incoming calls, emails, and general enquiries; triage and direct communications to the correct departments.
Maintain a high standard of customer service in all interactions, internal and external.
Meeting & Office Coordination
Manage meeting room bookings, prepare rooms prior to scheduled meetings, and support basic meeting logistics.
Assist with coordinating internal events, staff meetings, and client visits when required.
Monitor and replenish office supplies, including stationery, kitchen items, and reception materials.
Administrative Support
Handle incoming and outgoing mail, courier services, package delivery logging, and distribution.
Support document preparation, filing, data entry, and other routine administrative tasks.
Assist the Office Manager and other departments with general operational support as needed.
Prior experience in reception, office coordination, or administrative support is strongly preferred.
Excellent verbal and written communication skills.
Strong organisational ability, attention to detail, and multitasking capability.
Confident, professional, and approachable demeanor.
Proficiency with office software (e.g., Microsoft Office, calendars, communication tools).
Ability to work in a fast-paced, client-focused environment and maintain confidentiality.
