International Patient Coordinator

Reporting to the Sales & Partners relationship Manager, the selected candidate will be responsible for the end-to-end coordination of international patient enquiries, from first contact through to the issuance of medical quotations.

 

Acting as the single point of contact for international patients and partners, this role ensures structured medical information collection, coordination with doctors and Business Units, teleconsultation management, pricing follow-up with PACS, and rigorous administrative control. The role requires a strong medical background combined with coordination and commercial acumen, with a focus on accuracy, follow-up, and service excellence.

What you will be doing:

  • Act as the single point of contact for all international patient enquiries, ensuring timely acknowledgement and follow-up.
  • Manage relationships with international patients, partners, and insurers in alignment with Sales & Partnerships objectives.
  • Coordinate the collection, validation, and completeness of medical files for clinical review.
  • Liaise with International Desks and internal teams to resolve missing or incomplete information efficiently.
  • Coordinate clinical input, including organizing teleconsultations where required.
  • Work closely with doctors, Business Units, and PACS teams to support clinical validation and cost estimation.
  • Ensure alignment between clinical recommendations and commercial proposals.
  • Prepare and issue clear, accurate, and timely medical quotations.
  • Support patient and partner decision-making through structured follow-up to improve conversion rates.
  • Maintain structured tracking of all international patient cases and monitor turnaround times and SLAs.
  • Prepare regular activity and performance reports for Sales & Partnerships management.
  • Identify trends, bottlenecks, and opportunities for process improvement.
  • Ensure compliance with internal standards, policies, and quality requirements.
  • Contribute to continuous improvement of international patient coordination processes.

 

What are we looking for?

  • Bachelor’s degree in Marketing, Healthcare Management, International Business, or a Medical/healthcare-related qualification
  • 2–3 years’ in healthcare administration, medical coordination, patient services or medical sales.
  • Strong knowledge of medical terminology and clinical documentation
  • Experience transitioning from a clinical/medical background into a coordination or commercial role is highly desirable
  • Exposure to international patients or private healthcare environments is an advantage
  • Ability to liaise effectively with doctors and multidisciplinary teams
  • Strong organisational, administrative, and follow-up skills
  • Ability to manage multiple cases simultaneously with high accuracy
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Excellent interpersonal and communication skills
  • Proactive, solution-oriented, and persistent mindset
  • Strong sense of ownership, accountability, and attention to detail
  • Ability to remain calm and professional under pressure
  • Client-focused with a strong service excellence mindset
