The Assistant Project Executive position is responsible for monitoring and reporting on overall project planning and scheduling, project accounting, and control, while providing technical direction and ensuring compliance with quality standards.

 

Responsibilities :

1. Project Payment Management:

  • Compile and prepare Project Payment Summaries (PPS) in collaboration with
  • relevant stakeholders.
  • Track payment statuses to ensure timelines are met.
  • Coordinate with contractors, consultants, suppliers, and other service
  • providers to facilitate timely payments.
  • Resolve payment-related issues by liaising with internal departments and
  • external stakeholders.

2. Administrative Duties:

  • Draft letters of appointment for contractors, consultants, suppliers, and
  • service providers.
  • Maintain accurate and organized records for all financial transactions and
  • contractual agreements.
  • Take minutes during project and finance-related meetings and ensure timely
  • circulation to all stakeholders.

3. Project Coordination:

  • Support the management of small-scale projects as a Project Executive.
  • Monitor project progress and ensure compliance with established timelines,
  • budgets, and quality standards.
  • Assist in preparing reports, updates, and presentations for senior
  • management.

4. Stakeholder Management:

  • Build and maintain positive working relationships with contractors,
  • consultants, suppliers, and other service providers.
  • Ensure all parties are informed of payment schedules, project updates, and
  • changes.

5. Compliance and Reporting:

  • Ensure adherence to company policies and procedures in all payment and
  • project-related activities.
  • Generate periodic reports on payment statuses and project progress for
  • review by the Project Finance Controller.

Education & Qualifications

  • Bachelor’s Degree in Project Management, Engineering, Quantity Surveying or in a related field;
  • A post-graduate degree in Construction Management will be an advantage. 

Skills

  • Excellent communication skills with fluency in English and French;
  • Self-motivated, dynamic, entrepreneurial, team player;
  • Good client management and goodwill building ability;
  • Ability to plan and organize team effort.
