The Administrative and Project Assistant will support the management of the staff e-shop and assist in the coordination of communication projects, in line with the departmental needs and objectives. The incumbent will also provide administrative support to ensure the efficient day-to-day operations of the Group Communications department.

Main Responsibilities

  • Manage and update content, records, inventory on the staff e-shop, ensuring accuracy, relevance, and timely updates.
  • Accurately input, update, and maintain data in internal databases and the staff e-shop.
  • Liaise with internal stakeholders and external suppliers to support project implementation and development.
  • Assist the Group Communications team in the administration of the department and coordination of projects and group initiatives.
  • Prepare reports, analysis, dashboards, and presentations related to e-shop performance and ongoing projects.
  • Respond to inquiries and provide relevant information to staff.
  • Coordinate and follow up with other departments as required.
  • Provide general administrative support to the department (payment follow up, filing, documentation, scheduling, minute-taking etc.).
  • Assist in the organization, coordination and follow-up of communication projects.
  • Perform any other related duties as assigned.

Profile

  • Higher School Certificate (HSC) or equivalent.
  • Previous experience in a similar administrative role would be an advantage.
  • Previous experience in a communications agency or e-commerce platform is an advantage
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Strong organizational and multitasking abilities.
  • High level of accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with high level of discretion and confidentiality.
  • Capable of working under pressure and meeting deadlines in a fast-paced environment.
  • A valid driving license is a definite advantage
  • Professional appearance and positive attitude.
