The Administrative & Personal Assistant provides high-level administrative and personal support to senior management, ensuring smooth daily office operations. it demands strong coordination, discretion, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative & Office Support
Manage daily administrative operations to ensure efficient functioning of the office
Maintain organized filing systems (both digital and physical) for records, documents, and contracts
Draft, format, and manage official correspondence, reports, presentations, and internal documents
Coordinate office supplies, vendor relationships, and service providers
Assist with onboarding documentation, employee records, and internal coordination
Ensure adherence to company policies, procedures, and administrative standards
Personal Assistant Responsibilities
Provide direct personal assistance to senior management with complete confidentiality
Manage calendars, appointments, meetings, and reminders, ensuring optimal time management
Coordinate domestic and international travel arrangements, including flights, accommodation, visas, and itineraries
Handle sensitive communication, emails, and phone calls on behalf of management
Organize personal and professional schedules, events, and engagements
Act as a gatekeeper, prioritizing requests and managing stakeholder interactions
Meeting & Coordination Support
Schedule and coordinate internal and external meetings
Prepare agendas, briefing notes, and presentation materials
Attend meetings when required and record accurate minutes and action points
Follow up on action items to ensure timely completion
Liaise with internal departments, clients, vendors, and external stakeholders
Communication & Liaison
Serve as a key point of contact between senior management and internal/external stakeholders
Maintain professional communication standards across all interactions
Coordinate with HR, Finance, Legal, and Operations teams as required
Support cross-functional initiatives and projects
Confidentiality & Compliance
Handle highly sensitive and confidential information with integrity and discretion
Maintain strict confidentiality of company and personal matters
Ensure proper documentation and compliance with internal policies
Additional Responsibilities
Support ad-hoc projects and special assignments as directed by senior management
Assist in organizing corporate events, meetings, and executive engagements
Anticipate administrative and personal needs proactively
Perform any other duties aligned with the role to support organizational efficiency
Required Qualifications & Skills
Education & Experience
Bachelor’s degree in Business Administration, Management, or a related field (preferred)
Minimum 2–5 years of experience in an Administrative Assistant, Executive Assistant, or Personal Assistant role
Prior experience supporting senior management or executives is highly desirable
