The Admin Officer will provide comprehensive administrative support to the Business Development Team, ensuring the smooth running of daily operations and contributing to the efficiency of internal processes.
The Administratuve Officer will provide comprehensive administrative support to the Business Development Team, ensuring the smooth running of daily operations and contributing to the efficiency of internal processes. The role requires strong organisational skills, attention to detail, and the ability to balance both operational and business development support tasks.
Main Responsibilities:
- Screening phone calls and handling requests and enquiries appropriately.
- Scheduling appointments, maintaining events calendars, and sending reminders.
- Assisting with sourcing and coordinating logistics for corporate gifts.
- Organising business travel, including arranging flights, visas, accommodation, and itineraries for the Team.
- Tracking and monitoring leads, follow-ups, and business development activities.
- Maintaining and updating internal databases, including contacts, corporate gifts inventory, and proposal templates.
- Assisting the team with the preparation of simple proposals
- Collecting and compiling internal statistics and industry data for reporting and analysis.
- Supporting internal projects and process improvement initiatives, including digitalisation.
- Proactively identifying opportunities to enhance efficiency and provide additional support to help the team achieve its objectives.
Academic background, Skills and Experience required:
- HSC (A-Level);
- Advanced typing, note-taking, record keeping and organisational skills;
- Ability to manage internal and external correspondences;
- Tech-savy and experienced in creating documents and spreadsheets, using office software such as MS Word, Excel and PowerPoint;
- Working knowledge of printers, copiers and scanners;
- Ability to multi-task;
- Fluent in English and French; and
- Excellent interpersonal, oral and written communication skills.
