RRCL is seeking for a dynamic and strong candidate as 'QS Secretary' to assist it Quantity Surveyors and Operation Teams.

 

 

Main Responsibilities:-

Tendering1. Upload tenders to QS PRECON File
2. Request approval if we will submit tender
3. Read Tender + Request required Documents from other departments
4. Request for BOQ in Excel format from PQS
5. Prepare required documents from QS Department for submission 
6. Fill form for bank testimonial and Litigation
7. Print whole Tender Doc + Company Profile only one sided
8. Send RFQs and Follow up on requests
9. Fill of BOQ for submission
10. Draft cover letter and compile documents for submission.
11. Organise submission (email or hand) 
Contract Doc1. Signature of Directors
2. Dispatch of copies of Contract 
3. Filling on Post Con Folder
Payment Certificates1. Forecast of subcontractors payments
2. Monday send forecast to all site managers
3. Forecast to Finance Dept (Wednesdays)
4. Send Final Payments to A/C Dept (Thursdays)
5. Scan Payment Certificates and send to sub-contractors
6. Prepare PO on SAGE (accounting system) and send to accounting
Filing System1. Original Performance and Advance Payment Guarantees (Bonds)
2. Record of Hard and Soft Copies
3. Create folders for Sites 
4. Fidic - Condition of contract - International ( Red Book)
Interim Payment Certificate1.Send IPA update to finance department on a monthly basis
2. Follow up on payments and report to respsective QS for contractors report
Tasks1. Correspondence with clients, project consultants, sub contractors and suppliers - Mail , Phone & letters
2. Assisting the Managing Director
3. Despatch
4. Preparation of Boardroom before meeting
5. Assist QS in daily activities
6. Send requests for quotations (RFQ)
7. Follow up of all QS RFQ sent - call sub contractors / suppliers for reminder
8. Take minutes of meeting every QS meeting (weekly)

Qualification & Knowledge:-

  • Good Communication Skills (English and French)
  • Good knowledge to Microsoft Tools
  • Minimum HSC or higher education would be an advantage
  • Punctual and ability to handle pressure
