Constance Belle Mare Plage is seeking a highly organised and detail-oriented Purchasing Officer to join our procurement team. The successful candidate will play a crucial role in managing the resort's purchasing activities, ensuring cost-effectiveness and maintaining quality standards.
Duties & Responsibilities
- Source and purchase goods and services in line with hotel standards and specifications.
- Ensure all purchases comply with quality, safety, and sustainability requirements.
- Maintain updated knowledge of market trends, pricing, and availability.
- Obtain competitive quotations and negotiate pricing, payment terms, and delivery schedules.
- Assist in issuing purchase orders through the procurement system and ensure proper documentation.
- Develop and maintain strong relationships with existing and potential suppliers.
- Monitor supplier performance in terms of quality, reliability, and service.
- Conduct periodic evaluation of suppliers and recommend improvements or alternatives.
- Coordinate site visits, tastings, or product trials when required.
- Liaise with all departments (F&B, Kitchen, Engineering, Spa, Housekeeping, etc.) to understand their purchasing needs.
- Ensure timely communication regarding delivery delays, product changes, and alternatives.
- Assist in planning seasonal or special event purchasing requirements.
- Maintain an accurate and organized record of purchase requests, quotations, and purchase orders.
- Ensure all procurement activities follow internal SOPs and financial controls.
- Validate delivery documentation and reconcile with orders before processing.
- Support audits by ensuring proper documentation and traceability.
- Ensure compliance with environmental and sustainability guidelines of Constance Hotels & Resorts.
Qualifications
- Bachelor's degree in Business Administration, Supply Chain Management, or a related field
- 3-5 years of experience in purchasing or procurement, preferably within the hospitality industry
- Proficiency in procurement software and inventory management systems
- Strong working knowledge of Microsoft Office Suite, particularly Excel
- Excellent negotiation and vendor management skills
- Analytical mindset with a keen eye for detail and ability to interpret data
- Outstanding organisational and time management skills
- Ability to work effectively under pressure and meet deadlines
- Excellent communication skills, both written and verbal
- Knowledge of hospitality industry supply chains and purchasing practices
- Understanding of relevant legal and regulatory requirements in procurement
- Ability to work collaboratively in a team environment
- Fluency in English; knowledge of French or other languages would be advantageous
