Job Summary
Essenze Ltd is seeking a proactive and detail-oriented Sales and Administrative Assistant to support the efficient operations of our showroom. This multifaceted role includes assisting customers with product inquiries and sales, performing basic accounting tasks, and providing administrative support to management. The ideal candidate will be customer-focused, organized, and comfortable working with numbers, while ensuring a professional and welcoming showroom environment.
Key Responsibilities
Sales Duties:
- Greet and assist customers visiting the showroom, providing product information, prices, and recommendations, in a professional and courteous manner.
- Understand customer needs and recommend suitable products or services.
- Prepare and issue quotations, pro-forma invoices, and sales orders for clients.
- Process customer orders, ensure timely delivery, follow up on pending payments and orders.
- Provide after-sales support and handle customer inquiries or complaints efficiently and provide timely, effective solutions.
- Maintain a strong knowledge of products, brands, specifications and stock availability.
- Assist in stock checks and inventory control.
- Assist in product displays, showroom presentation, and stock labelling.
- Achieve individual and team sales targets as set by management.
- Ensure an excellent customer experience from inquiry to after-sales service.
- Build and maintain strong relationships with clients, suppliers and contractors by delivering excellent service.
Accounting Duties:
- Process sales transactions and maintain accurate sales records.
- Record daily sales transactions, issue receipts, and manage petty cash.
- Prepare customer invoices and process supplier bills.
- Monitor accounts receivable and payable, and follow up on outstanding payments.
- Assist in monthly reconciliations and financial reporting.
- Maintain accurate and up-to-date financial and inventory records.
Administrative Duties:
- Perform general office tasks: filing, data entry, photocopying, scanning, and correspondence.
- Manage incoming phone calls, emails, and customer inquiries.
- Maintain and update customer and sales databases.
- Prepare invoices, delivery notes, reports, tenders, and related documentation.
- Schedule meetings, appointments, and assist in coordinating events or training sessions.
- Coordinate with suppliers, warehouse staff, and delivery teams to ensure timely order processing.
- Schedule deliveries, coordinate with suppliers, and monitor stock levels.
- Support management in preparing sales reports and maintaining records.
- Handle confidential and sensitive information with discretion.
- Provide administrative support to the management team as required.
Qualifications & Skills
- Minimum HSC or Diploma in Business Administration, Accounting, Sales & Marketing, or related field.
- At least 1–2 years’ experience in sales and/or administrative roles (showroom or retail experience preferred).
- Basic knowledge of accounting and bookkeeping practices.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), experience with accounting software (SAGE) is a plus.
- Strong communication and interpersonal skills.
- Excellent organizational, and problem-solving abilities.
- Ability to multitask, prioritize, and work under minimal supervision.
- Ability to work independently and as part of a team.

Work Conditions
- Based at the showroom (Ebene).
- Working Hours: Monday to Friday (08h00 – 17h15) and Saturday (08h00 – 13h15), with flexibility during peak periods.
- Immediate availability preferred.
