The Finance and Admin Officer contributes to the efficient and effective functioning of the day-to-day financial, accounting and administrative operations of the company and provides support to management as required.
FINANCE
- To prepare and be involved in the budget preparation and forecast
- To ensure the timely and accurate maintenance of the financial books and records of the company
- To maintain accurate and complete files and comply with the organisational framework of company
- To be responsible for General accounting, to ensure timely and accurate processing of cash management, accounts payable and accounts receivables, and proper handling of all tax matters and timely filing of all tax return of the company
- To carry out reconciliation of general ledger and accounts.
- To liaise with auditors to ensure annual monitoring is carried out
- To prepare payroll, annual budget and final accounts statutory returns and other financial statements as required.
- To prepare and analyse cash flows
- To effect internal control of accounts
- Liaise with the third party for the monthly payments or any other accounting issue
- Prepare emoluments
- To develop external relationships with appropriate contacts, e.g. auditors, solicitors, bankers and statutory organisations
Human Resource support
- Draft contracts for service providers
- Maintain a complete data base of all employees and service providers and update them regularly
- Maintain employee physical and digital records like employment contracts according to policy and legal requirements
- Processing entry applications for new customers when necessary.
- Sending notification and training schedule to staff.
Administrative, Communications and Public Relations support
- Participating in the proper running of the administration of the organization
- Maintaining office files and submit reports to management on a regular basis
- Maintaining office systems and deal with paperwork as required
- Greeting and assisting visitors and answering phone calls whenever necessary
- Responding to information requests of management, customers and service providers
- Help in the marketing, organization, and administration of the organization
- Assist in the organisation of events and conferences.
