Essenze Ltd is recruiting an Administrative Clerk who will be responsible for performing a wide range of administrative and clerical tasks to support daily office operations, as well as engaging in sales activities to promote and sell the company’s products or services.

 

Job Summary:

Essenze Ltd is recruiting an Administrative Clerk who will be responsible for performing a wide range of administrative and clerical tasks to support daily office operations, as well as engaging in sales activities to promote and sell the company’s products or services. This hybrid role requires strong organizational skills, attention to detail, and a customer-oriented approach.


Key Responsibilities:

This role includes, but is not limited to:

Administrative Duties:

  • Perform general office duties such as filing, data entry, photocopying, scanning, and managing office supplies.
  • Handle incoming and outgoing correspondence, including emails and phone calls and letters and direct them to appropriate departments or individuals.
  • Maintain and update records, documents, and databases accurately, both electronic and paper-based.
  • Prepare invoices, tenders, quotations, reports, and other business documents as required.
  • Assist in the preparation of regularly scheduled reports.
  • Assist in scheduling meetings, appointments, and managing calendars.
  • Support the preparation and coordination of internal and external communications, events such as meetings, appointments, conferences, or training sessions.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Perform other administrative duties as required by senior management.

 

Sales Duties:

  • Greet and assist walk-in customers in a professional and courteous manner.
  • Understand customer needs and recommend suitable products or services.
  • Prepare and follow up on sales quotations and orders.
  • Process sales transactions and maintain accurate sales records.
  • Achieve individual and team sales targets as set by management.
  • Assist in stock checks, inventory control, and product displays.
  • Provide after-sales support and handle customer inquiries or complaints efficiently.

 

Requirements:

  • Minimum [HSC/Certificate/Diploma] in Business Administration, Sales, or a related field.
  • Proven experience of at least 1-2 years in administrative support and/or sales roles is an advantage.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint Outlook).
  • Familiarity with office equipment, such as printers and scanners.
  • Excellent written and verbal communication skills (English & French).
  • Strong organisational, interpersonal skills and a customer service mindset.
  • Ability to multitask, prioritize work, and meet deadlines.
  • Professional appearance, proactive and positive attitude.
  • High attention to detail and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Ability to handle sensitive and confidential information.

Working Conditions:

  • Working days/Hours: Monday to Friday 08h00 – 17h15 and Saturday 08h00 – 13h15
