Main Purpose of the Role:

The Warehouse & Distribution Manager is responsible for overseeing warehouse operations, inventory control, and product distribution. This role is vital for maintaining compliance with regulatory standards (ISO 13485, FDA, MDR) and ensuring timely, accurate deliveries. The ideal candidate will have a background in regulated logistics and a proactive mindset for process improvement.


Key Result Areas and Main Accountabilities:

1. Warehouse & Inventory Management

  • Manage daily receiving and dispatch for all purchases.
  • Oversee storage of production items including components, supplies, and tooling.
  • Optimize replenishment and stock levels using FIFO/FEFO and lot traceability.
  • Monitor stock levels and consumption to prevent shortages or overstocking.
  • Communicate production shortages and align with purchasing/logistics teams on ETAs.
  • Ensure compliant storage (e.g., for temperature-sensitive items).
  • Maintain inventory accuracy across physical, system, and financial records via regular audits and cycle counts.

2. Distribution / Shipping Management

  • Ensure accurate and timely outbound shipment of products.
  • Supervise order fulfillment (packing, labeling, documentation).
  • Coordinate with Sterilization and Sales teams for special orders and shipping deadlines.
  • Provide real-time updates on delivery status and resolve delays.
  • Align shipping schedules with production outputs and packaging readiness.
  • Anticipate and resolve bottlenecks through joint planning.

3. Data & Process Accuracy

  • Enforce QR code scanning at key warehouse process points.
  • Validate ERP system data, ensuring correct transaction records.
  • Collaborate with Finance for accurate ERP-generated reporting.
  • Develop and enforce clear working instructions and ensure team training.

4. Logistic Flow


Key Performance Indicators (KPIs):

  • Inventory Accuracy: Match between system and physical inventory.
  • Turnover Rate: Speed of inventory usage and replenishment.
  • Pick and Pack Productivity.
  • On-Time Delivery Rate.
  • Compliance & Audit Readiness: Adherence to ISO 13485, FDA, and audit outcomes.
  • ERP Data Accuracy: Reliability of master data in Sage X3 for planning and reporting.

Budgetary Responsibility:

  • Responsible for Store & Shipping-associated CAPEX.

Management Responsibility:

  • Manage a team of at least six professionals, including a Store Lead, Controller, Shipping Officer, and Operators.

Job Requirements:

Qualifications & Certifications:

  • Bachelor's degree in Supply Chain, Logistics, Business, Engineering, or a related field.

Experience:

  • Minimum 5 years in a similar role within a manufacturing or medical device setting.

Skills & Attributes:

Hard Skills:

  • Supply Chain Expertise: Strong inventory control and logistics knowledge.
  • ERP & Data Proficiency: Experience with Sage X3 or similar systems; capable of data analysis and reporting.
  • Regulatory Knowledge: Understanding of ISO 13485, FDA 21 CFR Part 820, documentation, and compliance.
