The Tenant Support Officer provides front-line support to tenants, ensures smooth operations, and maintains effective communication across MaxCity’s retail properties. The role focuses on tenant satisfaction, issue resolution, and administrative support in line with service standards.
Job Responsibilities
Tenant Relationship Management
Act as the primary point of contact for tenant queries, concerns, and service requests.
Provide direct support and guidance on operational and administrative matters.
Coordinate timely responses and solutions via phone, email, WhatsApp, or in-person meetings.
Conduct regular follow-ups to ensure satisfactory resolution of tenant issues.
Monitor and enforce compliance with operational policies, including trading hours.
Operational & Administrative Support
Assist tenants with applications for permits, licenses, and other regulatory requirements.
Coordinate site access and onboarding for tenant contractors.
Maintain and update the tenant database with accurate operational details.
Support the preparation and management of documentation related to insurance, health and safety, and general tenant communication.
Tenant Welcome & Office Coordination
Greet and welcome tenants and visitors in a professional and courteous manner upon arrival.
Ensure the office environment reflects MaxCity’s customer service standards.
Serve as the first point of contact within the office for general tenant assistance.
Collaborate with the reception team to maintain consistent service quality.
Reporting & Compliance
Track and manage tenant service issues through Zendesk, including resolution timelines.
Monitor and report on key service metrics such as tenant turnover and first-response KPIs.
Ensure compliance with internal control procedures and operational protocols.
Prepare and submit regular operational and tenant service reports to management.
Job Requirements
Minimum Diploma in Business Administration, Property/Office Management, or a related field.
At least 2 years of experience in property administration, tenant support, or operational coordination.
Excellent written and verbal communication skills.
Strong administrative and organizational abilities.
Proficiency Microsoft Office Tools
Good understanding of property and facility operations.
