Implement stock rotation principles (FIFO – First In, First Out) to maintain freshness for perishable products and ensure proper usage of non-perishable items. Monitor inventory levels in the bulk storage areas, ensuring that overstocking or stock shortages are avoided. Conduct regular stock counts and audits to ensure inventory accuracy and prevent shrinkage or loss. Collaborate with department managers and store staff to facilitate smooth stock replenishment and ensure shelves are consistently stocked.

3 | Supplier Coordination: Communicate with suppliers to ensure timely deliveries and resolve issues with delivery discrepancies including short delivery claims within the same day. Maintain relationships with suppliers and logistics partners to optimise the receiving process. Coordinate returns or exchanges of damaged or incorrect products with suppliers.

4 | Team Leadership and Development: Lead and supervise a team of stock administrators, stock room supervisors, receiving clerks, receiving assistants, scanning clerks, stock counters, bulk stock room packers and trolley collectors, ensuring that tasks are completed efficiently and accurately. Train staff on proper stock handling, safety procedures and inventory management systems. Create and manage staff schedules to ensure coverage for receiving and storage operations during peak hours or large deliveries.

5 | Safety and Compliance: Ensure that all receiving and storage operations comply with health and safety regulations, especially when handling food and perishable products. Maintain cleanliness and order in bulk storage areas, implementing pest control measures where necessary. Conduct regular safety checks on storage equipment, including forklifts, pallet jacks and shelving systems, to ensure safe operation. Monitor and enforce temperature control for perishable goods stored in cold storage areas.

6 | Documentation and Reporting: Maintain accurate records of all incoming stock, stock movement within the store and any damaged or lost goods. Prepare regular reports on inventory levels, shrinkage, stock discrepancies and receiving activity for management review. Track and report on key performance indicators (KPIs) such as stock turnover rates, shrinkage reduction and delivery accuracy.
