Our client in the ICT Sector is seeking to recruit a Paralegal Assistant/Admin Officer.
Responsibilities:
Contract Management & Review:
- Review existing company agreement templates (e.g., client service agreements, supplier contracts, NDAs) and reword/tailor them based on specific project requirements and client specifications under the guidance of the CEO or other designated personnel and in liaison with external legal counsel where necessary.
- Assist in drafting new clauses or modifying existing ones in contracts and other legal documents.
- Maintain an organized repository of all contractual agreements and legal documents.
- Track key contractual dates, obligations, and renewal/expiry dates.
Legal Research & Support:
- Conduct preliminary research on clients, projects, and specific legal or compliance queries as directed.
- Compile and summarize research findings, notes, and relevant information for internal review or for forwarding to external legal counsel.
- Assist in preparing summaries or briefs.
Policy & Compliance Documentation:
- Assist in drafting, reviewing, and updating internal company policies and procedures to ensure they are current and compliant with relevant regulations and group head office requirements.
- Support efforts to communicate and implement new or revised policies across the organization.
Liaison with External Legal Counsel:
- Act as a point of contact for routine information exchange with the retained law firm.
- Prepare and organize documentation required by external counsel.
- Assist in coordinating responses to queries from the law firm, reducing direct back-and-forth.
Administrative & Compliance Support :
Compliance & Internal Controls:
- Assist the CEO or other designated personnel in monitoring and ensuring adherence to internal policies and procedures.
- Support the implementation and maintenance of internal control systems.
- Assist in preparing for and responding to internal audits initiated by the group head office.
- Help maintain records and documentation related to compliance activities.
Risk Management & Governance:
- Provide administrative support for risk management processes, including documentation and tracking of identified risks and mitigation efforts.
- Assist the CEO or other designated personnel in preparing materials for governance meetings or reports.
- Support the implementation of good governance practices within the company.
Client & Project Administration (under guidance):
- Handle administrative aspects of client communication related to contractual or compliance documentation, under the direction of Project Managers and the Admin team.
- Assist in compiling project-specific documentation required for contractual or compliance purposes.
General Administrative Support to CEO:
- Provide general administrative assistance to the CEO or other designated personnel as required, particularly for tasks related to legal, compliance, risk, and governance functions.
- Organize and maintain files and records (both electronic and physical).
- Schedule meetings related to legal or compliance matters, as needed.
