We are seeking a detail-oriented and proactive Inventory and Accounting Officer to join our finance team in the hospitality sector.
• Accurately capture supplier invoices into both Lightspeed (inventory system) and QuickBooks (accounting system).
• Ensure all inventory-related transactions are properly recorded and synchronized across both systems.
• Assist the Storekeeper/Stock Controller to schedule and oversee regular stock takes.
• Reconcile physical stock count results with system records and update both systems accordingly.
• Identify damaged or obsolete stock and ensure appropriate revaluation and adjustments are made.
• Maintain clear documentation of stock adjustments, discrepancies, and audit trails.
• Assist the Financial Controller and Accountant with periodic group financial reporting.
• Build and maintain an Excel-based reporting template to format internal financial data for Cognos input.
• Capture finalized financial results into the Cognos group reporting system accurately and on time.
• Ensure consistency and accuracy of data between QuickBooks and Cognos.
• Support the finance team with schedules and reconciliations for group consolidation.
• Prepare the monthly stock report for management accounts using data from Lightspeed and QuickBooks.
• Analyze stock trends, cost variances, and financial data to support budgeting and forecasting.
• Liaise with sales, procurement, and operations teams to align inventory and financial data.
• Support internal and external audits by providing accurate documentation and reports.
• Contribute to process improvements in inventory and accounting workflows.
• Perform other related duties as assigned. Responsibilities may evolve over time in response to the changing needs of the company.
• Experience with Lightspeed, QuickBooks, and Microsoft Excel is essential.
• Strong attention to detail and accuracy in data entry and reconciliation.
• Ability to work independently and collaboratively across departments.
• Familiarity with Cognos or similar group reporting tools is an advantage.
• Prior experience in inventory and accounting roles, preferably in the hospitality industry, is highly desirable.
