We are looking for a dedicated Finance and Administrative Officer to support financial operations, ensure effective administrative processes and oversee office and facilities management.

Job Overview:

• The Finance and Administrative Officer will play a key role in managing day-to-day office operations, facilities, and administrative support, ensuring a safe, efficient, and well-organized working environment. 

• Responsible for supporting financial activities including processing transactions, maintaining records, assisting with budget monitoring, and managing petty cash, all in compliance with organizational policies and procedures. 

• Ensure the delivery of high-quality office services, including procurement, vendor management, and compliance with health and safety standards.

Key Responsibilities:

Financial Support and Record Keeping 

• Assist in processing invoices, expense reports, and petty cash management, ensuring timely and accurate financial transactions. 

• Support the preparation of financial reports and documentation for audits and reviews. 

• Maintain records of financial transactions, petty cash balances, and supporting documentation. 

• Support overall financial management activities in line with organizational policies and procedures. 

Procurement and Vendor Management 

• Coordinate procurement activities in line with organizational policies. 

• Manage relationships with suppliers and service providers, negotiating contracts and ensuring timely delivery of goods and services. 

• Track procurement and maintenance activities to ensure budget adherence and quality standards. 

Office and Facilities Management 

Oversee daily office operations, including maintenance, cleanliness, and safety protocols. 

• Manage office supplies, equipment, and furniture, ensuring availability and proper functioning. 

• Coordinate with building management and vendors to ensure facilities are well-maintained and compliant with safety standards. 

• Implement and monitor health and safety policies, including emergency procedures and risk assessments. 

Administrative Support 

• Provide administrative assistance to the Regional Head of Finance and to the Chief Executive Officer, including scheduling, correspondence, and document management. 

• Support organization of meetings, events, including logistics and catering arrangements. 

• Maintain accurate and up-to-date filing systems, both physical and digital. 

Compliance and Health & Safety 

• Ensure adherence to health, safety, and environmental policies. 

• Conduct regular inspections and update safety procedures as needed. 

• Keep abreast of legal and organizational requirements related to facilities and office management. 

Candidate Profile: 

Qualifications: 

• Diploma in Business Administration, Finance, Accounting or related field. 

• Minimum of 3 years of experience finance support and office administration. 

• Experience in managing office operations, petty cash, and travel arrangements. 

• Excellent understanding of financial processes, budgeting, and expense management. 

Key Skills: 

• Excellent organizational and multitasking skills. 

• Strong interpersonal and communication abilities. 

• Problem-solving mindset with attention to detail. 

• Ability to work independently and proactively. 

• Proficiency in MS Office Suite and office management tools.
