The job incumbent shall be responsible for the preparation of quotations, make flight reservations, issue tickets and perform necessary land/sea arrangements and/or travel related services. He/She shall be responsible to prepare debit/credit memo and perform admin duties.

 

  • Prepares quotations for clients by gathering information and querying on flight details and itineraries by phone, e-mail or fax.
  • Requests deposits, purchase orders for firm bookings.
  • Performs bookings and requests final payment upon confirmations of clients.
  • Prepares and issues corresponding voucher/itinerary and hands over to clients.
  • Performs bookings on Amadeus/Galileo and other booking tools (web sites) System upon confirmation of clients.
  • Makes flight reservations and issues air tickets by performing input of transactions on Amadeus/Galileo.
  • Verifies the credit worthiness of clients having an account with the travel agency before issuing tickets.
  • Makes arrangement for tickets to be either sent to or collected by clients.
  • Ensures that all cancelled air tickets (MPD, E-ticket and Exchange Voucher) issued are not reported as a sale transaction.
  • Prepares Debit Memo and sends to the Accounts Department for invoicing purposes on a daily basis
  • Prepares Credit Memo in case of refund of air tickets due to cancellation or unused tickets as and when required.
  • Prepares Credit Memo in case of any discrepancy in the client’s account.
  • Sets up, promotes and sells packages by gathering sufficient information on selected destinations and provide adequate feedback to clients.
  • Assists in the development of packages by checking on best rates available.
  • Seeks for new products and destinations through the internet, media and any other sources.
  • Ensures excellent relations with customers by handling complaints of walk in clients and solving problems as quickly as possible.
  • Attends to after-hours emergency services on a roster basis.
  • Handles daily activities such as drafting and typing letters, emailing, answering phone calls, faxing, mail despatch and distribution and filing of clients’ dossiers and invoices.

The job holder should ideally possess:

  • A Higher School Certificate
  • Certificate in Travel and Tourism or IATA/UFTAA International Travel & Tourism Level 2
  • Certificate in Selling Techniques andCustomer Care
  • Strong knowledge of Amadeus Reservation System
  • Good knowledge of world geography and international destinations
  • Fully computer literate
  • Good written and spoken English and French
  • Excellent communication and interpersonal skills
  • A minimum of 3 years working experience in a similar position
