To perform a wide range of administrative and office support activities for the company, Managing Director and Head of Department and acts as facilitator for the efficient operation of the organization.
Key Duties and Responsibilities:
Administrative:
- To answer, screen and transfer inbound calls
- To welcome and direct visitors and clients as and when required
- To provide a full spectrum of secretarial support to the Head of Department
- To organise and coordinate business meetings and appointments
- To make sure that all necessary documents and venues are ready before scheduled meetings
- To set up the equipments for the meetings as required
- To liaise with all departments to ensure that all information is updated and compiled
- To assist in taking minutes as and when required.
- To maintain a clear filing system at all times
- To assist Management and Head of Department in all administrative duties
- Coordinates transportation for employees and visitors as and when required
- Responsible for courier i.e dispatched of both documents and non documents
- To maintain confidentiality of all documents and information at all times
Key Required skills, Aptitude and Attitude:
- Recognised qualification and relevant hands on experience of at least 2-3 years in the field
- Good verbal communication and good handwriting
- Excellent planning and organisation skills
- Excellent typing skills
- Fully computer literate: MS Office
