Your Role

As the Executive Assistant and Office Manager you will be responsible for overseeing the administrative operations, facilities management, and internal coordination of the organisation. This role ensures that administrative processes run smoothly, enabling staff and management to operate efficiently.

You will also support senior management with organisational coordination, service provider management, and administrative control functions, while maintaining a well-organised workplace environment.

Your Responsibilities

The role provides direct administrative assistance to the Managing Director and, where required, to other members of the leadership team. This includes supporting the coordination of management schedules, maintaining calendars, assisting with documentation, and facilitating internal administrative processes such as leave tracking and meeting preparation.

In addition to executive support responsibilities, the role oversees a broad range of general administrative functions. This includes coordination with external service providers and vendors, supporting administrative matters relating to corporate insurances, pension contributions, coordinate courier services and document handling, including the sending and receiving of packages and maintaining appropriate logs and records where required

The position also manages travel coordination for staff and management, including arranging flights, accommodation, and related travel logistics. This may involve liaising with external travel providers and coordinating arrangements with the group’s headquarters or other international offices, when required.

As part of the front office function, you will be the first point of contact for visitors and external stakeholders, ensuring a professional reception environment.

In addition, the role oversees aspects of office and facilities management. This includes coordinating with the building landlord or property management, ensuring that the office infrastructure functions effectively, and organizing workplace services such as cleaning and general office upkeep.

Your Skills & Competencies

You bring strong organisational and coordination skills, with the ability to manage a wide range of administrative responsibilities in a structured and efficient manner. With excellent communication and interpersonal abilities, you interact confidently with colleagues, management, external partners, and visitors, maintaining a high level of professionalism at all times. You are comfortable managing multiple priorities simultaneously and a high level of attention to detail. You are proficient in Microsoft Office applications, including Excel, Word and Outlook. A basic understanding of budgeting and procurement processes further supports your ability to contribute effectively to the smooth running of office administrative operations.

Highly organised and proactive, you take pride in maintaining a well-structured and efficient working environment. You are dependable and professional in your approach, with the ability to anticipate needs and handle tasks with discretion and care. Your service-oriented mindset and collaborative attitude enable you to work effectively with colleagues across the organisation, while remaining adaptable and composed in a dynamic business environment where multiple priorities must be managed simultaneously.
