The Facilities Coordinator is responsible for supporting the smooth day-to-day operations of facilities and administrative functions across the organization. The role ensures that all premises are well-maintained, safe, and operational, while also assisting in general administrative tasks.

 

Key Responsibilities – Facilities Management

- Perform light maintenance works (minor repairs, basic fixes, adjustments)
- Coordinate routine maintenance and repair works (electrical, plumbing, civil, etc.)
- Monitor and ensure cleanliness and proper upkeep of all facilities
- Conduct regular site inspections to identify issues and follow up on corrective actions
- Liaise with external contractors and service providers for maintenance works
- Track and report facility-related complaints and ensure timely resolution
- Assist in implementing preventive maintenance schedules (PPM)
- Support asset tracking and basic asset register updates
- Ensure compliance with health, safety, and security requirements
- Monitor utilities usage and report any abnormalities

Key Responsibilities – Administrative

- Assist in general office administration and coordination
- Handle basic procurement processes (raising requests, follow-ups with suppliers)
- Maintain records, logs, and documentation related to facilities and admin
- Support coordination of meetings, site visits, and internal logistics
- Assist in preparing reports (weekly/monthly) for management
- Ensure availability of office supplies and consumables
