This role manages retail leasing through document control, tenant coordination, and process compliance. Key duties include administrative management, lease execution, and maintaining data accuracy to drive portfolio efficiency and occupancy.
Key Responsibilities
Administrative Operations & Documentation
Execute the end-to-end lease administration process, including rigorous document collection, verification, and KYC compliance.
Draft and manage a high volume of legal documents, including lease agreements, renewals, addendums, and termination notices in partnership with Legal and Finance teams.
Oversee meticulous record-keeping by ensuring all executed documents are correctly signed, scanned, filed, and archived in both physical and digital systems.
Maintain and audit leasing databases to ensure 100% accuracy in tenant, unit, and contract information.
Perform general department management duties such as filing, scanning, document control, and comprehensive record management.
Reporting & Milestone Tracking
Monitor and track critical lease milestones, including commencement dates, expiries, rent reviews, and notice periods to prevent operational lapses.
Produce detailed leasing reports and dashboards (occupancy, vacancy, and renewal status) for senior management review.
Manage internal approval workflows, ensuring all pending actions receive timely follow-up and completion.
Tenant Coordination & Support
Act as the primary administrative point of contact for retail tenants regarding onboarding, lease conditions, and documentation requirements.
Professionalize tenant communications regarding rental adjustments and compliance obligations.
Coordinate the logistical aspects of tenant handovers, including shop fit-out timelines and lease commencement readiness.
Commercial & Compliance Support
Support the General Manager in the administrative execution of leasing strategies and marketing vacant units.
Prepare formal commercial proposals and offer letters for prospective and existing tenants.
Conduct market research and benchmarking to provide data-driven support for leasing decisions.
Ensure all documentation adheres to company policies, legal requirements, and regulatory standards.
Facilitate internal and external audits by maintaining organized and accessible leasing records.
Job Requirements
Minimum of 3 years’ experience in a high-level administrative, commercial support, or office management role; experience in property or real estate is a plus but not required.
Bachelor’s degree in Business Administration, Finance, Real Estate, or a related field.
Advanced proficiency in Microsoft Office and a strong aptitude for digital platforms, AI-enabled tools, and database management.
Exceptional organizational skills with a proven ability to manage complex documentation and strict deadlines.
Excellent written and verbal communication skills, with a focus on professional correspondence and interpersonal relations.
