Answer phone calls and perform administrative tasks.

 

  • Operate LGI telephone switchboard during normal office hours and transfer calls to the appropriate staff.
  • Determine the nature of inquiries and provide basic information to the caller in a professional manner.
  • Transfer inquiries to the relevant departments/persons.
  • Record and deliver telephone messages.
  • Record all calls in the telephone logbook.
  • Greet visitors and offer advice and assistance.
  • Maintain a professional attitude when dealing with the company’s stakeholders.
  • Ensure that the reception area is always clean and tidy.
  • Plan the messenger’s daily tasks.
  • Receive and process letters and parcels and record.
  • Organise and process incoming and outgoing despatch.
  • Operate the franking machine properly.
  • Keep records of all incoming cheques and invoices in the appropriate logbooks.
  • Prepares itineraries and makes reservations as necessary.
  • Take minutes of meetings
  • Recording of correspondence. ( letters send and received by post )
  • Ensure that the lunch delivery is done effectively by the contractor.
  • Circulate menu on a weekly basis to the caterer and prepare the employees menu grid.
  • Liaise with the caterer on menu issues and invoices.
  • Participate in Welfare activities.
  • Menu Reconciliation
  • Prepare messing list (Intermart)
  • Send purchase orders to external suppliers on a monthly / yearly basis.
  • Scan Fax documents received to the necessary department / Hod.
