Job Summary

The Logistics Coordinator is responsible for the Logistics department like purchasing, fleet management, filing and archiving of documents, registry services (documents inflow and outflow). He is also responsible for the maintenance of company assets like buildings, vehicles, furniture and fitting, for preventive maintenance on company assets, where applicable, to minimize risks, optimize costs and ensure security and safety of staffs and visitors.

Main Responsibilities

  • Ensure that equipment are properly maintained and function properly. This includes but not limited to generator test, water pump, vehicles cleanliness.
  • Manage fuel card issuance/cancellation and monitor fuel consumption.

 

  • Coordinate servicing, repairs, and maintenance of company vehicles.

 

  • Handle road tax, insurance renewals, and vehicle-related agreements parking, transport providers.

 

  • Administer purchase and sale processes of company vehicles. Manage staff transportation arrangements, including company bus eligibility.

 

  • Coordinate transport logistics for staff (business, training, overtime, urgent needs).

 

  • Arrange transportation for CEO and key stakeholders.

 

  • Manage parking allocations and visitor parking arrangements.

 

  • Source quotations and procure non-stock items in line with procurement procedures.

 

  • Issue purchase orders and ensure timely delivery of goods.

 

  • Process supplier payments upon receipt and verification of goods.

 

  • Support budget preparation using historical data and business inputs.

 

  • Monitor and report monthly budget variances and prepare quarterly consumption reports.

 

  • Reconcile logistics budget figures with Finance and conduct expense trend analysis.

 

  •  Supervise team members through planning, performance management, coaching, and compliance monitoring.

 

  • Act promptly in resolving pressing issues keeping in mind the risk element and impact on the staffs’

         safety and security. E.g., fire alarm breakdown, generator breakdown.

  • Escalate critical issues while making suitable recommendations to Management.
    • Inform the Logistics Manager on breakdown of and/or necessity for replacement of equipment in a timely manner.
    • Ensure proper service from service providers.
    • Ensure approval is obtained from relevant stakeholders on equipment and documents to be disposed.
    • Follow up on disposal of equipment and documents.
    • Ensure payment is received for disposal through auction sale.
    • Provide input for budget and quarter consumption report preparation.
    • Monitor actual expenses versus budget on a monthly basis and provide reasons for variances noted.
    • Recommend ways and means to minimize wastage and optimize costs.
    • Regularly monitor the manned-security service from third party providers.
    • Ensure proper functioning of CCTV cameras, firefighting equipment, lift, generator, chiller and server room air conditioning system by carrying out regular servicing/tests. Ensure timely servicing is done on those critical equipment.
    • Ensure that company guidelines are adhered to and that team members are trained accordingly.

 

 

Job Requirements

  • Bachelor’s degree or Diploma in Supply Chain Management, Logistics, Business Administration, Management, Operations, or Industrial Engineering
  • Minimum 2 years’ experience in Management
  • Strong leadership and liaison skills with external and internal customers
  • Good coordinating capacity, organisational, facilitation and negotiation skills
