This multifaceted role combines dedicated personal assistant (PA) support for the Managing Director with broader responsibilities in high-level executive assistance, project coordination, strategic initiative tracking, and management reporting.
The EA will act as a key point of contact for internal and external stakeholders, streamline executive operations, support the execution of strategic objectives, and enhance decision-making through accurate and insightful reporting.
Executive Support:
Manage complex calendars, meetings, travel arrangements, and correspondence for executive leadership.
Prepare briefing materials, agendas, ExCo meeting minutes, action logs, presentations, and reports using Microsoft Office 365 (Word, Excel, PowerPoint), SharePoint, and Dropbox.
Serve as the primary point of contact between the MD and internal/external stakeholders.
Project Management & Strategic Objective Tracking:
Oversee internal projects from initiation to completion using tools like MS Projects, Gantt charts, task lists, and risk logs.
Maintain a high-level view of strategic objectives and ensure alignment across entities.
Liaise with cross-functional teams for timeline and resource management.
Track interdependencies or risks affecting executive agendas.
Maintain project documentation, including timelines and dashboards for review.
Executive Reporting:
Collect and analyse data for reports, proposals, KPIs, dashboards, and financial summaries.
Create regular executive reports and support quarterly/annual business reviews.
Improve reporting systems and automate processes where possible.
Take detailed minutes during ExCo and senior leadership meetings.
Governance & Compliance Support:
Ensure compliance with policies, regulations, and data protection.
Track and follow up on compliance or regulatory actions.
Communication & Stakeholder Management:
Draft and edit executive communications, announcements, and briefing notes.
Coordinate internal/external communications for strategic objectives.
Organise executive meetings, including agendas and follow-ups.
Process Improvement & Operational Support:
Implement efficiency improvements.
Maintain administrative systems for workflow and information sharing.
Budget & Resource Management Support:
Support budgeting, expense management, and executive reporting with Finance.
Assist with HR processes like recruitment coordination, payroll, and evaluations.
Tertiary qualification or certification in Business Administration, Project Management, or related field.
Additional certifications in legal secretarial, HR, or finance are a plus.
Minimum 5 years’ experience in executive support or project coordination; 10–15 years preferred in senior administrative roles.
Experience working with C-suite executives on cross-functional projects.
Proficiency with data analysis, reporting tools, and calendar management.
