Job Title: Messenger-Office Attendant Reports To: Operations Director Team: Central Support Team – Work under the supervision of the Administrative Assistant.
Core Accountabilities
- Collect and deliver items from reception i.e. courier document, stationery, etc. within the office.
- Classify all incoming mail and courier on a daily basis.
- To despatch and collect documents from other offices/organisations as required by the company.
- To collect and deliver documents and despatch items from and to the place of residence of staff members around the island in case of a work from home concept is adopted by the company in future.
- To coordinate office cleaning performed by the representatives of the cleaning company on a daily basis, as well as ensuring the tidiness of the office facilities at all times.
- Buy kitchen groceries for the office.
- Arrange orders and collection of lunches for staff members on a daily basis.
- Account for all sums of money advanced in fulfilment of their assigned duties whether by the company or any staff member.
- Regularly shredding all correspondence/documents marked for destruction.
- Assist the filing team for proper arrangement of files and records, whenever required
- Arrange and facilitate site visits by external maintenance companies.
- Assist the Building Facilities, by reporting faulty equipment, electrical or mechanical e.g. lights not working etc.
- Open the office one Saturday per month (or whenever required) to give access and coordinate the work of the cleaning service provider and the pest control company.
- Any other tasks relating to the functions of Messenger and/or for the upkeep and maintenance of the office, as may be directed from time to time by Management.
Relationships:
(a) Within organisation: Accuro Trust (Mauritius) Ltd.
(b) Any outside organisation dealing with Accuro Trust (Mauritius) Ltd.
Competences:
- Fitness
Must be fit as heavy archive boxes and stationery may need to be moved from time to time.
- Ability to work under pressure
Must be prepared to work overtime if needed.
- Ability to work to required deadlines
Normal duties, include franking post, internal delivers, external hand delivers (whether on foot or by motorcycle) and the ability to organise/prioritise workload.
- Good attitude and communication skills
Must be able to communicate in English orally and in writing.
Demonstrate a high level of integrity and a proactive ‘can-do’ attitude.
Project a project a professional image both internally and externally when representing the company.
Knowledge of Messenger duties would be an advantage.
- Licence
Must hold a valid driving licence (Motorcycle).
- Transport
Expect to own and use their own motor cycle in the performance of their daily duties.
