The role will compromise of being the first point of contact as receptionist and will provide administrative support across the company with high quality and in a timely manner. The successful applicant needs to have a flexible approach to work and be prepared to multi task, and adapt to changes.

 

Reception

o   Response to email, phone calls and other forms of correspondence using a professional and courteous manner.

o   Consistently creates an excellent customer service by greeting, assisting customers in selection of storage unit size according to their materials to be stored.

o   Giving advice of space availability, rental regulations and rates.

  • Coordinate daily customer service operations (e.g. sales processes, reservation and payments).
  • Handles customer complaints in a professional and courteous manner; finds satisfactory solutions.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
  • Maintain office security by following safety procedures and controlling access via our box.

 

Office Administrative

o   Assist the manager in the daily task, organise appointment and meeting and maintain calendars and schedules.

o   Maintain an up-to-date customer database by entering customer profile details.

o   Notifies customers when rental term is about to expire or rent is overdue.

o   Monitor and maintain store inventory of packaging and boxes.

o   Purchase, receive and store the office supplies ensuring that basic supplies are always available.

o   Balance cash registers at the end of the shift and make sure that there is sufficient change available for the next shift.

o   Use computer word processing, spreadsheet, and database software to prepare reports, memos, and documents

o   Update and maintain accounting journals and records detailing financial business transactions: Invoicing, payments and debtor’s management and back reconciliation

 

 

General

 

o   Maintains punctual, regular and predictable attendance.

o   Displays excellent communication skills including presentation, persuasion, and negotiation skills required in working with clients

o   Communicate effectively and remain calm and courteous under pressure.

o   To promote the excellent image and reputation of the company

o   Participates in all promotional events that the company may organize, during weekdays and weekends.

o   Enforces all company policies and procedures, including health, safety, and security.

o   Inspects storage area periodically to ensure storage units are locked.
