Executive Secretary

Under the direction of the General Manager within the limits of established hotel policies & procedures, directs all aspects of secretarial work in the hotel, maintains the executive office and all matters relating to executive administration in a confidential and professional manner.

 

  • Work directly with the General Manager with the day-to-day administrative tasks
  • Maintains the utmost confidentiality and discretion when handling business affairs
  • Maintain the General Manager’s agenda and assist in planning appointments, board meetings, conferences etc.
  • Cooperates, coordinates and communicates with Department Heads and others as appropriate
  • Arrange & attends meetings
  • Taking minutes of Department Heads, Executive Committee meeting and others as directed by the General Manager
  • Follows up on agreements / contracts renewals in coordination with legal advisors from the Head Office.
  • Day-to-day secretarial work to include typing, filing, emails and telephone
  • Manages electronic calendar, make appointments and schedule meetings
  • Distribution of memos, letters and other information
  • Arranging internal and external appointments
  • Translating incoming letters, documents, articles as and when required
  • Storing and keeping all confidential information
  • Follow up on projects with the General Manager
  • Preparing monthly operational results for meetings
  • Liaising & collaborating with the Head Office
  • Understand the responsibilities of other sections and departments and co-operate with them.
  • Reports directly to and communicates with the General Manager on all administrative matters
  • Performs other related duties/projects as assigned by the GM

We are looking for a person with below  values:-

Commitment, Cohesion, Contribution and Confidentiality

 SKILLS  & COMPETENCE REQUIRED

Min BSC or Master’s Degree in business administration from a recognized institution or an equivalent qualification

Proven experience as Executive Secretary to the GM or Director and/or similar administrative role 

Proficient in MS Office

Excellent communication skills English and French written and spoken

Excellent organizational and time-management skills

Salary Package negotiable according to the years of experience and qualifications.
