Job Purpose:

The Corporate Services Officer is instrumental in upholding impeccable legal standards while fostering a culture of corporate governance excellence. With a keen eye for detail and unwavering commitment to excellence, you will work closely with diverse clients, providing tailored solutions and guidance. Whether it's organising board meetings and/or committee meetings, preparing statutory documents, or liaising with external regulators, your role will be dynamic and multifaceted, offering ample opportunities for professional growth and development.

 

Key Responsibilities:

  • Proactively organising appointments and meetings, ensuring seamless coordination within the team.
  • Support in the organisation of board meetings, committee meetings, and annual general meetings (AGMs), contributing to the smooth operation of corporate proceedings.
  • Attending board and/or committee meetings, preparing meeting minutes under the guidance of management.
  • Draft simple resolutions under the supervision of management, contributing to the decision-making process.
  • Assist in maintaining statutory books, updating registers of members, Ultimate Beneficial Owners (UBO), directors, and secretaries.
  • Manage correspondence effectively, compiling vital information and crafting reports to ensure transparent communication with stakeholders.
  • Foster strong relationships with external regulators and advisors, such as legal counsel and auditors, to facilitate compliance under the guidance of management.
  • Collaborate with the team to deliver exceptional company secretarial services, adhering to the highest professional standards.
  • Maintain an up-to-date database of statutory information for client companies, ensuring accuracy and accessibility.
  • Assist in the systematic scanning and filing of documents to uphold organisational efficiency.
  • Contribute to general administrative tasks as needed, ensuring smooth operations within the Business Unit.
  • Respond promptly to customer inquiries, reviewing client cases thoroughly to ensure all necessary actions are taken to meet their needs.

 

Technical and Soft Skills:

  • Degree in Management or related field
  • Minimum 1 - 2 Years’ working experience, preferably in the company secretarial field or equivalent experience ideally in the financial services sector.
  • Proficiency in Microsoft Word, Excel, and PowerPoint, enabling efficient creation and presentation of documents.
  • Ability to handle confidential matters with discretion, effectively setting priorities and thriving in high-pressure environments.
  • Demonstrated attention to detail, ensuring accuracy and precision in all tasks and communications.
  • Strong communication skills, both verbal and written, facilitating clear and effective interaction with colleagues, clients, and stakeholders.
