Our client is seeking to recruit a Secretary.
Responsibilities
Provide secretarial and administrative support to members;
She/ He will report directly to the Office Manager for general office matters;
Dealing with daily communication;
Organising and maintaining files, maintaining current and former files and helping to update student files when required;
Scheduling appointments and maintaining a daily calender for the member of the staff;
Coordination the location of meetings;
Organising the distribution of papers for meetings and taking minutes of meetings as required;
Ensuring the protection and security of files and records;
Providing administrative assistance during examinations;
Making travel, visa and hotel arrangements and preparing for the Accounts department per diem allowance;
Transferring and disposing of records according to retention schedules and policies;
Providing administrative assistance during examinations;
Ensure that the required samples are sent to examiners for all coursework;
Making regular checkups during examinations to ensure their smooth running;
Provide examination lists for each examination rooms;
Provide seating plans for each examination room.
Profile
HSC / IB
Secretarial Diploma
At least 2 years working experience in a similar position
Computer literate
Fluent in English and French
Punctual
