The candidate will be responsible of managing all the imports and exports of the company. The Import & Export Officer will assist the Supply Chain & Logistic Controller to maintain and ensure smooth running of import & export processes.
Imports
- Work in close collaboration with production, maintenance and sales departments for all their import requirements.
- Prepare provisional costing for all imports and obtain necessary approvals thereon from respective Managers and the CEO prior to issuing purchase orders to the foreign suppliers.
- Prepare purchase order and send same to suppliers for confirmation of order.
- Make proper planning with suppliers for the dispatch of goods according to shipment schedule to prevent shortages.
- Liaise with the foreign suppliers and ensure that they send all the shipping documents in due time in order to enable prompt clearance of goods with custom authority.
- Forward shipping documents to clearing agents to enable them to collect the goods on arrival.
- Prepare final costing for all imports after receipt of goods and documents and obtain necessary approvals thereon.
- Review re-order level report and follow-up with responsible departments the re-ordering of goods.
Exports
- Prepare proforma invoices for overseas customers based on the information provided by the Sales Manager.
- Provide documents to freight forwarders for clearance of goods and shipment to customers.
- Send commercial invoices and packing lists to customers and follow-up with the different parties to ensure that goods are delivered to customers as per agreed deadlines.
Store
- Inform the Stock Controller well in advance for the provision of storage space when deliveries will be effected.
- Good communication and analytical skills
- Knowledge of accounting software ( knowledge on Navision will be a definite advantage)
- General knowledge of Microsoft Office
