Administrative Officer to handle day-to-day administrative duties, support accounting operations, and assist in marketing and client coordination in the construction sector. Knowledge in accounting and marketing will be considered a strong advantage.
Key Responsibilities
Administrative & Office Support
• Handle daily office operations, correspondence, and document filing (both soft and hard copies)
• Prepare letters, meeting minutes, and internal memos.
• Assist with employee attendance tracking, leave records, and payroll support
• Coordinate communication between office, suppliers, and construction sites.
• Ad-hoc duties may be assigned as required
Accounting Assistance
• Record supplier invoices, prepare purchase orders and payment vouchers.
• Maintain petty cash and assist with monthly financial reporting.
• Help prepare VAT statements, quotations, and client billing.
• Follow up on outstanding payments and reconcile accounts with suppliers.
Marketing & Client Coordination
• Assist in preparing proposals, company profiles, and project presentations.
• Manage updates for social media and promotional materials.
• Support the tender process with document preparation and follow-ups.
• Communicate professionally with clients and project partners.
Procurement & Logistics
• Liaise with suppliers for materials, quotations, and deliveries.
• Maintain stock records and support site logistics.
• Ensure timely coordination between procurement, site, and management.
Qualifications & Skills
• Minimun HSC / Diploma or any other relevant qualification in the related field (Diploma or any other relevant qualification will be a plus)
• Minimum 1-2 years working experience in a similar position.
• Proficient in Microsoft Office (Word, Excel, Outlook).
• Good written and verbal communication in English and French. (Hindi will be a plus)
• Strong organizational and multitasking skills
• Ability to work under pressure and meet deadlines.
• Knowledge in accounting or marketing tools will be a plus.
