We are hiring a proactive Administrative & Accounts Officer to support our secondary school. Reporting to the Principal, the role involves admin tasks, call handling, and basic accounting such as payment reconciliation and debtor follow-up. Accuracy and teamwork are key.

 

MAIN DUTIES & RESPONSIBILITIES:

  • Answer and manage incoming calls, emails, and general inquiries in a professional manner.
  • Provide administrative support to school management, staff, and students.
  • Maintain accurate records, filing systems, and databases.
  • Assist with correspondence, reports, and documentation as required.
  • Support day-to-day office operations to ensure smooth functioning of the school office.
  • Perform basic accounting tasks, including data entry and invoice processing.
  • Assist in payment reconciliations for school fees and other transactions.
  • Monitor outstanding debtors, issue reminders, and follow up on payments in coordination with the Finance Department.
  • Prepare simple financial reports and updates for management review.
  • Ensure compliance with internal financial policies and procedures.
  • Oversee the medical room by keeping records of student visits, ensuring basic first-aid supplies are stocked, and assisting students who feel unwell until a parent/guardian or nurse is available.
  • Support any other tasks and responsibilities assigned by the Principal that are appropriate and reasonable for this position.

 

Qualifications & Skills

  • Minimum Diploma in Administration, Accounting, or related field.
  • Prior experience in an administrative or accounts role, preferably in an educational setting.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and accounting software.
  • Strong communication and interpersonal skills.
  • High attention to detail, accuracy, and confidentiality.
  • Ability to prioritize tasks and work independently with minimal supervision.
  • Experience of working in a medical room as well as basic first-aid knowledge would be an advantage.
  • Professional, approachable, and student cantered.
  • Organized and adaptable to a dynamic school environment.
  • Strong sense of responsibility and integrity.
