Receive, direct and replay telephone messages and emails. Ascertain Protocole & SOP Standard are followed at all time

 

• Take part in internal training courses and to implement what has been learnt in daily practice & process
• Assist his superior in ensuring a proper manning
 
• Keep superiors informed about all unusual matters concerning any plans affecting his/her area
• Assist Sub Section as and when required
• Play an active role in the team
• Ensure that on the job training is conducted o a regular basis
• Answer  telephone  calls  and  provides  a  well-mannered  reply  to  all telephone  callers  in  a  professional  manner
• Take messages and transfer to concerned departments efficiently 
• Ensure that discipline prevails within the team
• Greet, assist and/or direct visitors and the general public
• Provide appropriate informations about hotel services to guests
• Keep record of requests placed by the guests
• Perform wake up call services
Provide word-processing and secretarial support
• Maintains an adequate inventory of office supplies
• Participate in Eco Standard/Sustainable Responsibility set by the hotel
• Ensure efficient use of materials and equipments to minimise wastage
• Ensure energy saving (electricity)
• Re-direct calls as appropriate and take adequate messages when required
• Develop and maintain a current and accurate filing system
• Manage booking of board rooms
• Receive, direct and relay telephone messages and fax messages
Pick up and deliver the mail
Respond to public inquiries
• Answer all incoming calls and handle caller’s inquiries whenever possible
• Hand-over informations/issues to GRM at the end of shift
• Follow strictly the procedure pertaining to section key
• Report telephone equipment or service complaints and problems
• To ensure villas letter and welcome cards are print daily as per Win Hms system
• To enssure assistance is given to GRO in daily task ( PCR record & follow up )
• To follow up message left in log book
• Maintain office sanitized, clean and tidy at all times
To enssure Mail has been sent for daily Trip Advisor …..
• Encourage and perform upselling and ensure posting done on Guest account
• Quickly identifying the nature of the telephone call in a courteous manner
• Screening telephone calls appropriately 
• Play an active role in the telephonist team and ensure smooth and satisfactory hand over between shifts
Renew Greenkey Membership annually
Comply with all the sustainability commitments and practices implemented within business units
Notify the Sustainable Development Department of any matters that may pose any impact to the environment and society
• SC level or equivalent, professional training and experience
• 1 Years experience in related position
• Fluent both in English and French, a third language would be an advantage
