Sygeco Ltd is looking for a Facilities Officer to take charge of general lettings management with a hands-on, practical approach.
The person will be responsible for the day-to-day running of Résidea’s leased properties—mainly houses and some offices—making sure tenancies run smoothly, essential equipment is in working order, repairs are dealt with promptly, and properties are always ready to let.
Key Responsibilities:
- Coordinate listings with internal teams/agents; support viewing logistics where needed.
- Prepare move-in/move-out: inventories, meter readings, keys/remotes, access devices, welcome/house-rules brief.
- Identify make-ready items after move-out (cleaning, minor touch-ups); obtain quotes and schedule works.
- Track void/turnaround time and flag blockers early
- Ensure essential equipment uptime: pumps/pressure sets, water heaters/geysers, gate motors/access, basic electrical/plumbing fixtures.
- Log and triage tenant requests; dispatch approved contractors; monitor SLA to closure.
- Perform simple first-level checks/resets where safe and appropriate; record findings with photos.
- Arrange leak detection and repairs; verify restoration and absence of recurrence.
- Request and compare quotations (price/lead time/quality); recommend award.
- Raise and follow POs, confirm completion against scope, collect reports/photos before invoice processing.
- Keep a current vendor list per trade (plumbing, electrical, gate motors, appliances within scope).
- Provide clear updates on timelines, access, and next steps; set expectations on out-of-scope items (e.g., gardening).
- Escalate exceptional or landlord-approval items (e.g., tenant improvements, major works).
- Coordinate access with occupants and ensure minimal disruption.
- Enforce safe-work practices for contractors (PPE, permits to work where applicable).
- Maintain records: warranties, manuals, certificates relevant to basic systems.
- Respect building/estate guidelines and notify non-compliance.
- Maintain a concise log: tickets, quotes, POs, costs, photos, meter readings, asset list per property.
- Issue weekly/monthly summaries (open vs. closed items, recurring issues, upcoming access).
- Liaise with Accounts for invoice matching (PO + evidence) and for rent/arrears status updates as per policy.
Qualifications, Skills and Experiences:
- Diploma/Degree in Property/Facilities Operations, Building Maintenance, Electromechanical/Civil Engineering or equivalent.
- 3–4 years experience in lettings/property management with hands-on coordination of basic maintenance and contractors.
- Practical troubleshooting (pumps, plumbing leaks, simple electrical, gate motors), clear written/oral updates, stakeholder management.
- Proficient with Microsoft Excel/Outlook and comfortable with simple ticket logs or CMMS.
- Fluent in English, French and Creole.
- Valid driving licence.
