The Front Desk Officer serves as the first point of contact for all visitors, clients, and staff. They are responsible for delivering a positive and professional impression of the company while managing administrative and front-desk operations efficiently.

 

Key Responsibilities

1. Reception Duties

  • Greet and welcome guests in a warm and professional manner.
  • Direct visitors to the appropriate person and office.
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Maintain security and telecommunication systems.

2. Administrative Support

  • Manage the reception area, ensuring it is clean, tidy, and well-presented at all times.
  • Receive, sort, and distribute daily mail, letters and deliveries.
  • Schedule and manage meeting room bookings.
  • Maintain office supply inventory and order items as needed.

3. Record Keeping and Communication

  • Maintain visitor logs and issue visitor badges.
  • Handle inquiries via email, phone, or walk-in with professionalism.
  • Assist with clerical tasks such as photocopying, scanning, filing, and data entry.

4. Coordination and Assistance

  • Coordinate with internal departments and assist HR/Admin when needed.
  • Assist in the preparation of reports, letters, and presentations.
  • Support event planning and office activities coordination when required.

 

Job Requirements

  • Minimum of a High School Diploma; additional qualifications in Office Management or Business Administration are a plus.
  • Proven experience as a receptionist, front office representative, or similar role (1–3 years preferred).
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to multitask and manage time effectively.
  • High level of professionalism and strong interpersonal skills.
  • Basic understanding of administrative and clerical procedures.
