ACCOUNTS AND ADMIN OFFICER

 

 

Job Summary

We are seeking a detail-oriented Admin & Accounts Officer to manage daily financial operations, including processing invoices, reconciling accounts, maintaining financial records, and assisting with monthly reporting. The role ensures accuracy, supports compliance with financial regulations, and contributes to the smooth functioning of the finance department.

 

Main duties and responsibilities

  • Assist the Accountant with all accounting functions
  • Respond to internal and external queries
  • Process invoices and other information using the accounting software
  • Liaise with suppliers and other companies regarding all administrative matters and to reconcile statements
  • Prepare routine entries and process financial transactions
  • Manage petty cash and cash-related transactions, issue receipts, maintain cash transaction records in the ledger, reconcile cash reports, and prepare bank deposits
  • Assist in the preparation of financial statements, budgets, and other reports
  • Maintain financial records in compliance with tax and accounting regulations
  • Assist in the preparation of monthly financial reports
  • Perform these and other related duties as assigned
  • Provide administrative and financial support
  • Develop and maintain efficient filing systems (both electronic and physical)
  • Help improve workflow and suggest process enhancements to reduce costs and improve efficiency
  • Ensure all documentation and transactions comply with company policies, financial regulations, and audit requirements
  • Support periodic audits (both internal and external) by providing required financial records and reports
  • Assist in preparing and submitting monthly stock reports and financial summaries to management
  • Assist in preparing warehouse budget estimates and monitoring actual expenditures against the budget
  • Oversee and assist administrative activities within the warehouse to ensure smooth day-to-day operations
  • Ensure compliance of internal control & procedures

 

Qualifications and Experience

  • ACCA Level 2 or equivalent
  • 2 years proven experience as Accounts Officer or similar experience
  • Proficient in MS Office tools & sound knowledge in accounting software
  • Ability to cope with tight deadlines
  • Ability to work flexible hours
  • Team spirit & Integrity
