QBL is seeking a highly organized and proactive Personal Assistant (PA) to provide administrative and personal support.
The ideal candidate is detail-oriented, professional, and able to handle a wide range of responsibilities with discretion and efficiency.
Key Responsibilities:
- Calendar and Schedule Management, coordinate meetings and maintain schedule, including appointments, conferences, travel and other engagements.
- Manage daily, weekly and monthly tasks for both MD and CTO, ensuing that deadlines are met, and priorities are managed.
- Event coordination such as dinners, lunches, or client meetings that involve socializing.
- Support with email management and phone calls.
- Arrange travel logistics including flights, accommodations, itineraries, and transportation for QBL’s business trips.
- Prepare and edit correspondence, presentations, reports, and other documents as required.
- Draft letters, memos and official communication on behalf of the CTO.
- Draft and manage minutes for CTO.
- Maintain strict confidentiality regarding all personal and professional matters related to the MD and CTO.
- Support general administrative tasks, including office management.
Key Skills and Qualifications:
- Minimum of 3-5 years of experience in a Personal Assistant role, ideally supporting senior-level / C-Suite executives.
- Proven ability to manage multiple calendars and tasks effectively in a fast-paced environment.
- Strong verbal and written communication skills, able to articulate clearly with both internal and external Stakeholders.
- Ability to manage time effectively, anticipate needs, and maintain a high level of efficiency.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and other office management tools.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Strong attention to detail in every aspect of work, from scheduling to document preparation.
- Ability to think critically and handle unforeseen challenges with resourcefulness.
