Job Description
- We are looking for a second Sales & Administrative Assistant to support our growing sales team. The successful candidate will play a key role in handling customer quotations, orders, invoicing, and export documentation, while also being a welcoming first point of contact for our clients.
- Key Responsibilities:
- Prepare customer quotations in line with Sales Manager instructions
- Receive and process customer orders
- Maintain and update customer records in the company database
- Enter and monitor orders and invoices in our ERP system (Microsoft Navision)
- Prepare sales invoices and perform counter invoicing when required
- Prepare export and delivery documentation (commercial invoices, delivery notes, customs documents)
- Handle price requests and customer enquiries by phone, email, or at the front desk
- Welcome clients at reception and take customer orders
- Follow up on order status and keep customers informed of progress
- Monitor delivery and invoicing timelines
- Ensure accurate and timely circulation of information between departments
- Prepare and submit regular sales and activity reports to Management
- Carry out any other duties reasonably related to the position
