JOB DESCRIPTION

 

 

Job Title:                    Finance Officer

 

Service:                      Finance

 

Reporting to:            Chief Financial Officer

Overall Purpose:

 

The Finance Officer is responsible for the efficient and accurate processing of supplier invoices, payments, and expense-related transactions. The role ensures strong financial controls, compliance with policies, and timely reporting, while supporting budget monitoring and cost control.

 

Principal Duties:      

 

·        Process end-to-end accounts payable transactions, including receiving, reviewing, and accurately recording supplier invoices in the financial system.

·        Prepare and execute supplier payments via approved methods (including online banking), ensuring compliance with payment terms and internal controls.

·        Verify invoices, payment requests, and bank transfers, ensuring appropriate supporting documentation and approvals are in place.

·        Liaise with suppliers and banks to resolve payment queries, support foreign currency transactions, and ensure timely payment clearance.

·        Record accruals for expenses incurred but not yet invoiced, supporting accurate month-end financial reporting.

·        Maintain the Fixed Asset Register, including recording additions, disposals, and calculating depreciation in line with accounting policies.

·        Record and account for foreign exchange differences on payments where applicable.

·        Perform reconciliations of key expense accounts, petty cash, and corporate credit cards, investigating and resolving discrepancies.

·        Support budget holders by monitoring expenditure against budgets, flagging variances, and providing basic analysis on key cost areas.

·        Contribute to process improvements and ensure adherence to financial policies and procedures at all times.

·        Undertake any other duties as may reasonably be required in line with the role.

PERSON SPECIFICATION

Education/Qualifications:

 

Essential:       Educated to at least degree level

 

Desirable:      Passed Level 1 ACCA exams or equivalent CIMA exams

Experience:   Minimum of 2 years in similar position

 

Essential       Experience of downloading data, data manipulation using spreadsheet tools, and reconciliations.

 

Desirable:      Experience of working with Finance Systems

 

Knowledge/Skills

 

Essential:       Good PC skills, especially spreadsheets.

                        Excellent inter-personal skills

Good written communication skills

Sound knowledge and understanding of basic accounting procedures.

The ability to prioritise work demands to meet deadlines.

Good organisational and administrative skills

                        Problem solving with the ability to analyse, follow-up and resolve issues.

The ability to work to tight deadlines
