Job Description

Key Duties and Responsibilities

  1. Direct and coordinate subordinate reservation staff to ensure that day-to-day operational matters are handled efficiently and on time.
  2. Handle all reservation correspondence and inquiries promptly, efficiently, and accurately.
  3. Ensure that all reservation details are accurately entered into the computer system in a timely manner.
  4. Regularly update the reservation database and ensure the accuracy of all information.
  5. Ensure that contract rates and allotments within the computer system are current and up to date.
  6. Monitor hotel room inventory to maximize occupancy and revenue yield.
  7. Monitor and control hotel overbooking status to ensure it remains within predetermined levels.
  8. Organize and maintain an effective trace and filing system for all reservations.
  9. Participate in the preparation of the three-month forecast.
  10. Maximize hotel room revenue through upselling hotel products and services.
  11. Ensure all departmental reports are prepared accurately, punctually, and distributed to the relevant departments.
  12. Coach, counsel, train, and develop subordinate employees.
  13. Excellent interpersonal skills with the ability to interact effectively with both colleagues and
  14. Ability to communicate and negotiate effectively in both local language and English.

 

 General Responsibilities

  1. Contribute to the morale and team spirit of the hotel by maintaining effective working relationships with colleagues.
  2. Perform additional duties as assigned by supervisors.
  3. Make appropriate suggestions and recommendations for the general improvement of the hotel.
  4. Be fully conversant with all health and safety, fire, and emergency procedures.
  5. Maintain a high standard of personal hygiene, grooming, uniform, and professional body language.
  6. Remain polite and professional in all situations where the image or reputation of the hotel is represented.
  7. Attend meetings and training sessions as required by supervisors.
  8. Ensure all activities are conducted honestly, ethically, and in compliance with local laws and regulations.

 

Performance Evaluation Criteria

  1. Hotel yield and average room rate versus budget.
  2. Production of timely and accurate reports.
  3. Staff training and development performance.

 

Years of Related Experience

  • 2–3 years of relevant experience in hotel reservations or a similar role.

Education/Qualifications

  • Secondary school education plus technical certificate or diploma.

 

Essential Job Skills

  • Fluent in both local language and English.
  • Good administrative skills.
  • Ability and experience in using computer systems.
  • Well-organized and systematic approach to work.

 

Desirable Job Skills

  • Ability to prepare reports in English.
  • Good telephone etiquette and communication skills.
  • Proven track record in a hotel of similar standard and capacity.
