MOL (Mauritius) Ltd is the local office of Mitsui O.S.K. Lines Group (MOL), a leading Japanese maritime transportation company with over 140 years of history and one of the world’s largest shipping fleets. Established in 2021, our Mauritius office coordinates our marine environmental protection and social contribution initiatives undertaken via two trust funds - the MOL Charitable Trust (MCT) and the MOL Mauritius International Fund (MMIF) - and supports business development activities in the Eastern and Southern Africa and Western Indian Ocean regions.

POSITION PURPOSE

 

Reporting to the Managing Director and General Manager, the General Affairs Assistant will provide comprehensive administrative support to the management team and day-to-day operations of the office. The General Affairs Assistant will also support trust fund activities and business development initiatives. This multifaceted role is crucial in ensuring smooth office administration, the growth of our business in Mauritius and the region, and our ability to deliver positive environmental and social impacts.

 

KEY RESPONSIBILITIES (include but are not limited to)

 

The General Affairs Assistant will be expected to support the day-to-day general affairs of the Company and management team

 

1.     Executive Support: Effectively manage the calendars of the Managing Director and General Manager, schedule appointments and meetings, and coordinate domestic and international travel (flights, accommodations, transport). Assist in document preparation, including drafting correspondence, meeting minutes, reports, and presentations. Provide any other support required by senior management as deemed necessary.

2.     Office Administration: Serve as the primary point of contact for visitors and incoming communications. Handle front-desk reception duties, including greeting guests and coordinating meeting logistics (room setup, refreshments,      equipment). Manage general office upkeep – maintain orderly office space, handle filing (physical and digital), oversee office supply inventory and relationships with suppliers, and ensure facilities and equipment are well-maintained.

3.     Communications Management: Screen and direct phone calls and emails, ensuring prompt and professional responses to internal and external inquiries. Assist in preparing content for social media updates and press releases to promote company and trust fund activities as needed.

4.     Financial & Expense Support: Perform basic accounting and administrative tasks such as recording expenses, processing invoices, and maintaining simple financial records in line with company procedures.

5.     MCT Project & Event Coordination: Support trust fund initiatives, including site visits and events, by coordinating with internal stakeholders, service providers and partner NGOs implementing projects. Contribute to public relations activities by preparing PR and communication materials.

6.     Business Development Assistance: Work closely with the management team on business development and marketing initiatives. This may include conducting research, supporting marketing activities, and assisting in the execution of new business projects as directed by the Managing Director and General Manager.
(Note: The General Affairs Assistant may be required to perform other related duties as necessary, in line with the evolving needs of our growing office.)

   

         

QUALIFICATIONS AND EXPERIENCE

 

·       Education: Minimum Secondary Education (High School Certificate) is required. A University degree (e.g. in Business Administration, Finance, Management or related field) is an advantage but not mandatory.

·       Experience: At least 4 years of relevant experience in administrative support or office management (with secondary education), or 2 years if holding a Bachelor’s degree. Experience in a small team or start-up environment is highly valued.

·       Technical Skills: Proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook etc.) and familiarity with office IT tools and web-based management systems is required. Basic understanding of business administration and accounting procedures is desired.

·       Language Skills: Fluency in English and French (written and spoken) is mandatory. Proficiency in Mauritian Creole is preferred. Knowledge of Japanese language or culture is an added plus due to our company’s Japanese roots.

·       Core Competencies: Excellent organizational and time-management skills with a keen attention to detail. Strong communication and interpersonal skills; able to interact professionally with internal and external stakeholders.

·       Others: Driving license (preferred)

A high level of integrity, accountability, and the ability to work independently with a sense of ownership over tasks. Flexibility and adaptability are essential – the successful candidate should be comfortable working in a fast-paced, evolving environment and taking on new challenges as the company grows. A genuine interest in maritime logistics, energy, marine environmental conservation and sustainable development is beneficial.
