Job Description

Job Summary 

We are seeking a Receptionist/ Telephonist to join our team and provide excellent customer service to our clients and visitors. The Receptionist/ Telephonist will be responsible for answering incoming calls, directing calls to appropriate personnel, greeting visitors, and performing a variety of administrative duties. 

Responsibilities 

  • Answer and direct phone calls in a professional and friendly manner
  • Greet clients and visitors with a positive attitude and provide excellent customer service
  • Handle customer complaints and inquiries in a calm and professional manner
  • Maintain a clean and organized reception area
  • Sort and distribute incoming mail and packages
  • Assist with administrative tasks as needed, such as data entry and filing
  • Manage and maintain conference room schedules and appointments
  • Maintain accurate records of all messages and returning all missed calls
  • Collaborate with other team members to ensure a smooth and efficient operation of the front desk 

Requirements 

  • Excellent verbal and written communication skills
  • Strong customer service skills
  • Proficient in Microsoft Office Suite and general computer skills
  • Ability to multitask and prioritize tasks effectively
  • Strong organizational and time management skills
  • Ability to work independently and as part of a team
  • Professional demeanor and appearance
  • Ability to maintain confidentiality
  • Prior experience as a receptionist, telephonist, or front desk coordinator preferred
