Job Description
Responsibility
- Organise appointments, Board meetings, Committee meetings, and shareholder meetings, ensuring that all checklists and documents are properly prepared and filed.
- Prepare agendas and simple board papers.
- Attend meetings and draft accurate minutes under the supervision of the Manager or Company Secretary.
- Prepare minute summaries, follow up on action items, and draft resolutions as required.
- Review basic meeting packs, resolutions, and letters prepared by junior team members.
- Support the preparation and review of documents for Annual Reports.
- Ensure timely filing of Annual Returns, Accounts, and other statutory documents, as well as timely payment of related fees.
- Assist in maintaining an updated statutory database and oversee proper scanning, naming, and filing of documents with junior team assistance.
- Liaise with regulators, auditors, and legal advisers under the Manager/Company Secretary’s supervision.
- Respond to inquiries from shareholders, directors, and other stakeholders, while supporting junior colleagues in addressing queries.
- Work effectively with clients’ external customers and counterparties.
- Respond promptly to customer inquiries and ensure appropriate actions are taken.
- Perform other related duties within the Business Unit.
Profile
- Degree in Business Administration or partly CGI (formerly ICSA) qualified
- 3–5 years’ experience in company secretarial work, ideally in financial services
- Accuracy and quality of work
- Strong command of Word, Excel, and PowerPoint
- Excellent written and verbal communication
- Strong organizational abilities and document‑management skills
- High levels of confidentiality, integrity, and attention to detail
