Job Description
The People & Culture Assistant provides administrative and operational support to the Human Resources Department, with key responsibilities covering recruitment, onboarding, casual labour administration, HR records and reporting support, training administration and coordination, and associate communication.
The role ensures that assigned HR activities are completed accurately, efficiently and within established deadlines, while providing professional support to candidates, associates and Heads of Department.
Key Responsibilities:
Recruitment
Post approved vacancies on recruitment platforms and monitor applications received.
Screen applications, maintain the Recruitment Dashboard and forward shortlisted candidates to the relevant Head of Department.
Coordinate candidate communication, interviews and follow-ups.
Welcome and assist walk-in candidates with the application process.
Support the interview and selection process as required.
Coordinate communication with selected candidates and advise them of required onboarding documents, uniform and transport arrangements.
Casual Labour Administration
Coordinate approved casual labour requests with the relevant service provider.
Verify weekly casual attendance against approved requests.
Monitor required documentation, including passports and valid permits, where applicable.
Prepare verified attendance information for payment and follow up on discrepancies or outstanding matters.
Maintain accurate casual labour records and supporting documentation.
Onboarding & Associate Records
Coordinate onboarding requirements, including transport arrangements, uniforms, name tags and lockers.
Prepare and follow up on employment agreements and Job Descriptions.
Create and maintain complete and accurate associate physical files.
Follow up on missing onboarding and employment documentation.
Maintain and update associate information, including personal details, emergency contacts and banking information.
Reporting & Monitoring
Prepare and submit assigned HR reports, including the Engineering Daily Presence Report and Back-of-House Report.
Maintain assigned HR trackers and ensure information is accurate and updated within established deadlines.
Assist with data collection and preparation of information for HR reporting and audits.
HRDC & Training
Complete HRDC applications and supporting documentation and ensure appropriate follow-up.
Maintain accurate records and trackers relating to HRDC applications.
Coordinate internal and external training activities, including scheduling, attendance and completion monitoring.
Maintain accurate training records and follow up with Heads of Department on outstanding training requirements.
HR Communication
Maintain and regularly update the Associate Canteen / HR Notice Board with approved communications, notices and information.
Support other internal HR communications and associate-related initiatives as required.
General HR & Administrative Support
Provide day-to-day administrative support to the Human Resources Department.
Provide administrative support to payroll and HR operations, including payroll changes, benefits, overtime and absence records, in collaboration with Heads of Department and Coordinators.
Draft and issue approved HR correspondence, including appointment, promotion, transfer, salary increment and termination letters.
Coordinate the administrative aspects of the performance appraisal process, including scheduling, collection of completed appraisals, record keeping and follow-up.
Respond to routine associate and candidate enquiries and escalate sensitive or decision-related matters to the appropriate HR representative.
Maintain accurate, organised and confidential HR records and filing systems.
Assist with HR reports, audits, projects and departmental activities as required.
Perform any other reasonable HR-related duties assigned according to operational requirements.
QUALIFICATIONS & COMPETENCIES
- Diploma or Degree in Human Resources Management, Business Administration or a related field.
- Previous experience in HR administration would be an advantage.
- Basic knowledge of Mauritian employment legislation and HR practices would be an advantage.
- Good knowledge of Microsoft Office, particularly Excel, Word and Outlook.
- Knowledge of or experience using SICORAX HR / Time & Attendance system would be an advantage.
- Good written and verbal communication skills.
- Strong organisational and time-management skills.
- Strong attention to detail and accuracy.
