Job Description

1. JOB PURPOSE

The Maintenance Officer is responsible for ensuring that all company premises, shops, offices, warehouse facilities, equipment, fixtures, and basic installations are maintained in good, safe, and operational condition.

The position involves carrying out preventive and corrective maintenance, identifying faults, coordinating repairs, and ensuring that maintenance issues are addressed promptly to minimise disruption to business operations.

2. KEY RESPONSIBILITIES

A. General Maintenance

  • Carry out routine inspections of company shops, offices, warehouse and other premises.
  • Identify and report maintenance defects, damages and potential risks.
  • Perform basic repairs and maintenance works where qualified to do so.
  • Attend to urgent maintenance issues and breakdowns.
  • Ensure doors, locks, shelves, counters, ceilings, walls, floors and other fixtures are maintained properly.
  • Carry out minor painting, carpentry, plumbing and general repair works where applicable.

B. Electrical & Plumbing

  • Check basic electrical installations, lighting, switches, sockets and related equipment.
  • Replace defective bulbs, switches and other basic components where authorised and qualified.
  • Identify plumbing problems such as leaks, blocked drains and faulty taps.
  • Coordinate with qualified electricians, plumbers or contractors for specialised work.
  • Ensure that all electrical and plumbing issues are reported and followed up until resolved.

C. Air Conditioning & Equipment

  • Monitor the condition and operation of air-conditioning units and other facility equipment.
  • Coordinate servicing and repairs of air-conditioning systems.
  • Report abnormal noises, leaks, breakdowns or other equipment problems.
  • Maintain a schedule for preventive maintenance and servicing.

D. Shop & Facility Maintenance

  • Regularly inspect all company outlets and facilities.
  • Ensure that maintenance issues affecting shop operations are attended to promptly.
  • Assist with shop opening, renovation, relocation or refurbishment projects when required.
  • Check signage, display fixtures, shelving and other shop installations.
  • Ensure that maintenance work does not unnecessarily disrupt customers or business operations.

E. Preventive Maintenance

  • Establish and maintain a preventive maintenance schedule.
  • Conduct regular inspections to identify problems before they become major breakdowns.
  • Maintain records of maintenance carried out on company premises and equipment.
  • Recommend replacement or repair of ageing or defective equipment.
  • Monitor recurring maintenance problems and recommend appropriate solutions.

F. Contractors & Service Providers

  • Coordinate with external contractors and service providers for specialised maintenance work.
  • Obtain quotations where required and submit them for approval.
  • Monitor contractors while work is being carried out.
  • Verify that completed work meets the required standard before closing the job.
  • Report any defective or incomplete work to the relevant manager.

G. Health & Safety

  • Ensure that maintenance activities are carried out safely and in accordance with company procedures.
  • Immediately report unsafe conditions, hazards, damaged installations or potential risks.
  • Ensure work areas are kept clean and safe during and after maintenance activities.
  • Use appropriate Personal Protective Equipment (PPE) when required.
  • Never undertake specialised or hazardous work without the required qualification or authorisation.

H. Maintenance Records & Stock

  • Maintain a maintenance log for all reported and completed jobs.
  • Record breakdowns, repairs, parts used and costs where applicable.
  • Monitor maintenance tools, spare parts and consumables.
  • Inform management when maintenance materials or spare parts need to be replenished.
  • Ensure company tools and equipment are properly maintained and stored.

3. DAILY / OPERATIONAL DUTIES

  • Attend to maintenance requests received from shops, offices and warehouse.
  • Prioritise urgent issues affecting safety or business operations.
  • Conduct routine inspections.
  • Complete maintenance tasks within the required timeframe.
  • Follow up on outstanding repairs with contractors or suppliers.
  • Provide regular feedback to the Operations / Facilities Manager.
  • Maintain accurate maintenance records.

4. KEY PERFORMANCE INDICATORS (KPIs)

Performance will be assessed based on:

  • Response time to maintenance requests.
  • Timely completion of maintenance jobs.
  • Reduction of recurring maintenance issues.
  • Preventive maintenance completion rate.
  • Proper maintenance of company facilities and equipment.
  • Compliance with health and safety requirements.
  • Quality of completed maintenance work.
  • Proper use and control of maintenance materials and tools.
  • Accuracy of maintenance records.
  • Level of disruption to shop and business operations.

5. QUALIFICATIONS & EXPERIENCE

  • Minimum SC / HSC or equivalent.
  • Technical or vocational qualification in maintenance, electrical, plumbing, building services or a related field will be an advantage.
  • Previous experience in maintenance, facilities, building services or a similar position.
  • Basic knowledge of electrical, plumbing, carpentry, painting and general building maintenance.
  • Experience in a retail, commercial or multi-site environment would be an advantage.

The Maintenance Officer may be required to perform other reasonable duties related to maintenance, facilities and company operations as assigned by management.
