Job Description
Main Role
The Shipping Lead will be responsible for overseeing the Shipping Department, ensuring the accurate, timely, and efficient preparation and dispatch of shipments. The role involves supervising the shipping team, ensuring compliance with company procedures and applicable regulatory requirements, and optimizing shipping processes to improve productivity, accuracy, compliance, and cost efficiency.
Shipping Operations Supervision & Coordination
• Oversee daily shipping activities, workflow, and order prioritization.
• Supervise team performance and ensure adherence to standard operating procedures (SOPs).
• Enforce safety rules and proper material handling practices.
• Coordinate and schedule pickups with carriers and freight companies.
• Ensure timely escalation and resolution of shipping delays or issues.
Shipment Accuracy, Quality Control & Documentation
• Perform quality checks to ensure products are picked, packed, and shipped according to sales orders and regulatory requirements.
• Prevent errors involving similar products, mixed orders, incorrect quantities, or traceability gaps.
• Ensure all shipment details, references, and special handling instructions are accurate and compliant.
• Maintain complete and accurate shipping records to ensure full traceability and audit readiness.
• Ensure handling, storage, and dispatch activities comply with ISO 13485 quality management system requirements and applicable FDA regulations.
Inventory, Planning & Cross-Functional Coordination
• Coordinate with Inventory, Sales, and Marketing teams to align shipping activities with customer demand.
• Verify stock availability, product status, and shipment readiness prior to dispatch.
• Ensure proper segregation, handling, and storage of medical devices prior to shipment in line with regulatory requirements.
• Anticipate and prevent congestion or bottlenecks during peak demand periods.
• Monitor packaging material inventory levels and ensure timely replenishment.
Compliance, Safety & Workplace Organization
• Maintain shipping logs and structured records in the system (X3).
• File and retain shipping documents for auditing purposes.
• Ensure shipping areas remain clean, organized, and free of hazards.
• Keep aisles, loading docks, exits, and emergency routes clear at all times.
• Enforce compliance with OSHA and company safety policies, including PPE usage.
Quality Management System
• Support and adhere to Natec Medical's Quality Policy and Quality Objectives.
• Contribute to the implementation, maintenance, and continuous improvement of the Quality Management System in accordance with ISO 13485 requirements.
• Ensure effective application of the Quality Management System within the area of responsibility.
